Description This is an entry-level clerical position within the Division Order Department with the primary function to serve as support for the Department by assisting Management, Division Order Analysts, and Technicians.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
• Monitor and cross check internal systems for quality control purposes
• Enter secure data into software system based on supporting documentation
• Distribute notice of system data updates to accounting and other internal departments
• Mail departmental material, track its return, and follow up when needed
• Maintain incoming division order receipt log
• Make copies, provide filing services, and distribute the mail for the DO department.
• Assist in locating owners due to bad address by using various programs on PC
• Assist the department with preparation of SOX related documentation
• Respond via mail, e-mail, or by phone to owner inquiries with respect to address changes, ownership changes, or other matters
• Research all mail returned as undeliverable to find current address, phone number or locate family members
• Assist with quality control by proofreading departmental material before it is mailed out
• Scan various documents for inclusion in the company’s land systems and for other purposes
• Assist with special projects as needed
Requirements • High School diploma required, 2 years college or like industry experience a plus
• Attention to detail and strong mathematical skills required
• Excellent verbal and written communication skills required
• Strong Microsoft Outlook and Excel skills required
• Basic knowledge of other Microsoft Office products a plus
• Ability to multitask is critical
• Keen learner and must be willing to assume additional responsibilities as assigned
• Willing and able to work daily in a fast paced, cooperative team environment
