Description Position Summary: The Director of First Impressions is typically the first person with whom visitors communicate, either over the telephone or as visitors to the Campus. It is essential that this position practice excellent telephone etiquette and maintain a pleasant, friendly and helpful disposition when interacting with students, coworkers and the public. This position also receives, logs and quickly notifies the Admissions Department of incoming calls and inquiries from prospective students.

Customer Service. Practices excellent telephone etiquette and maintains a pleasant, friendly and helpful disposition when interacting with others in order to create a positive, caring and professional impression with prospective students, coworkers and the public.
Duties:

• Greets and directs visitors to the appropriate person
• Answers questions and engages in conversation to make prospective students and visitors feel welcome while they wait to see the person they came to visit.
• Answers and transfers incoming and internal telephone calls to the appropriate person
• Emails student calls pertaining to attendance to appropriate Faculty member and the Director of Education
• Dresses professionally and keeps well-groomed
• Keeps the reception area neat, clean, organized and inviting to visitors
• Maintains a Telephone Log
• Ensures that visitors sign the Visitor Log
• Issues visitor’s badges when visitors sign in and collects them upon their departure


Admissions Support. Provides administrative and student processing support to the Admissions Department.
Duties:

• Assists Admissions staff with various administrative tasks
• Enters and updates data, schedules activities, creates letters and generates reports in CampusVUE
• Tracks Admissions activities related to leads, logs, etc.
• Sends mailings to future, current and previous students
• Prepares correspondence, sends out catalogs and brochures for Admissions staff
• Emails students calls pertaining to attendance to appropriate Faculty and copy email to Director of Education immediately after phone call.
• Provide basic instruction for telephone system operation. Reports and seeks remedy for all telephone system failure.


Administrative Support. Prepares and creates forms, letters, agendas and other administrative documents for use and future reference by Admissions Associates as requested.
Duties:

• Maintains postage machine
• Prepares flyers or brochures for mailing
• Handles all outgoing mail, applying proper postage and making certain the mail is ready and sent on schedule.
• Prepares and sends all overnight envelopes and packages via overnight services as directed.
• Monitors incoming faxes and directs them accordingly. Assists with outgoing faxes


Requirements Job Requirements: The following job requirements represent minimum levels of education, experience and competencies/abilities needed to perform this job successfully:

1. Education: High School Diploma or equivalent. Associate's degree or higher preferred.

2. Experience: One to two years of administrative experience.

3. Competencies: Incumbent must (be) able to:

• Organize and execute around multiple priorities
• Communicate effectively, both orally and in writing
• Speak effectively to both large and small groups of people

• Utilize the internet and have a medium to advanced skill level working with Microsoft Word, Excel, Powerpoint and Outlook
• Work days and some evenings and Saturdays if/when required

4. Physical and Mental Requirements:

Physical Requirements: While performing the duties of this job, the associate is required to have normal physical mobility. Requires normal hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and read and understand information. The associate frequently is required to sit, reach with hands and arms, talk and hear.

Mental Requirements: Alert and attentive; ability to remember locations, names, people. Analytically competent. Works well under pressure and manage multiple tasks.

Environment: This job is normally performed in a clean, well-lighted, heated and cooled office area/classroom.
