As part of the Finance/Accounting and IT departments’ administrative team, provides administrative support for the Finance group, Information Technology and Internal Audit as directed. Facilitate communication between internal contacts, vendors and tenants. Well organized, detail oriented, flexible and pro-active with a high level of professionalism and the ability to maintain confidentiality in all aspects of communication and company information.


1. As part of the Finance/Accounting and IT departments administrative team, provide primary and/or backup skilled administrative support for the Finance group, Information Technology and Internal Audit as directed, to include but not limited to:
• Draft and/or compile as well as execute mailings (including certified);
• Copy and/or bind materials;
• Create, label, and/or recycle folders as requested;
• Work with Corporate Services to order appropriate stationery and supplies; work with vendors to order appropriate job-specific folders and labels;
• Maintain calendar and organize travel as needed;
• Document management (via traditional means and the ABBYY Scanner and Verification System) of electronic and hardcopy documents for all Accounting and Finance groups, as directed;
• Screen and direct communications;
• Create correspondence;
• Maintain filing system;
• Schedule meetings;
• Work in CTI and Share Point Library, as directed;
• Assist A/P with checking stuffing as necessary. 60%

2. Accounting:
• Assist with processing, coding, scanning and tracking invoices for review and approval;
• Prepare and submit expense reports;
• Create reports as requested. 25%

3. Meetings / Event Planning:
• Coordinate, organize and set up staff meetings and company events. 15%

• Provide back-up support to the Finance/Accounting admin team.
• Provide other office support as necessary (mail, switchboard, etc.).
• Perform other job related duties as assigned.

Education High School Diploma or equivalent. College coursework or degree preferred.

Further Training N/A

Professional Experience Minimum of two years of administrative experience.

Computer Skills
• PC proficiency including Microsoft Office applications (Word, Excel, Outlook, PowerPoint, etc.) and ability to learn company specific software.
• Ability to adapt to new or changing software programs.

Mobility N/A
