Description The Proposal Coordinator / Researcher will assist with the identification, coordination, organization and submittal of proposals and presentations, in addition to assisting the Business Development management and department personnel with regard to document management, communications and other such support.

This individual is accountable for effective communications, document management and controls, and logistics throughout the proposal lifecycle. This individual is responsible for effective use of procedures, tools, and templates; document management and production; and accurate, timely communications regarding document status, proposal and capture team meetings, and formal reviews. This individual also assists with the development and maintenance of capture and proposal management tools.

This position is characterized by shifting priorities, stringent deadlines, and evening/weekend hours to accomplish tasks within non-negotiable client deadlines. The successful candidate will demonstrate ability to use initiative, independent and sound judgment with highly confidential business matters.

Duties include, but not limited to:

• Support one or more proposal volumes (e.g., General, Business, or Administrative) on large-sized proposals
• Support responses to pre-solicitation notices and requests for information
• Assist with the coordination, organization, and submission of proposals and presentations and support document management; communications; and other administrative tasks.
• Schedule proposal and capture meetings and manage the associated calendars
• Support proposal meetings, to include attending all meetings, taking notes, and producing any required documentation
• Prepare proposal volumes and binders for submission
• Track and report on the status of all upcoming, in-process, and outstanding proposals
• Track and report on the status of all upcoming opportunities.
• Conduct research to support capture and proposal efforts using a variety of methods / tools
• Develop and distribute appropriate capture related documentation.
• Manage expenses for proposal team, prepare and reconcile expense reports, coordinate travel arrangements
• Make copies of documents for meetings, attend meetings, and take meeting minutes
• Coordinate with Creative on supplies for the proposals (e.g., binders/CDs/boxes).
Requirements Requirements:
- Undergraduate Degree Required
- 1-4 years of work experience in a professional office environment required
- Due to the fast-paced work environment, the selected individual must be a team player, self-starter, and able to work with minimal direction to meet deadlines.
- Excellent oral and written communication skills. Ability to write in clear, concise and compelling language.
- Proficiency with Access, Word, Excel, and PowerPoint
- Strong organizational and follow-up skills.
- Ability to adjust schedule and/or work overtime when necessary.
- Ability to maintain a high level of confidentiality and make independent judgements when necessary.
- Ability to handle multiple interruptions and adjustments to priorities throughout the day.
- Strong attention to detail.
- Resourcefulness and ability to work proactively.
- Ability to maintain a positive attitude under stress and ability to work with a diverse group of personalities.

General Office Demands:

Must be able to operate general office equipment including but not limited to: computer, phones and related media and information devices on most or all workdays.
Experienced in operating Microsoft office products.
Ability to work at the Headquarters Program level.
Ability to communicate and interact with others, both in person, online and/or by telephone to conduct business.
Working under time pressure.
Working rapidly for long periods to meet deadlines.
Must be able to travel as needed and adhere to AFSC travel policies and procedures.
Physical requirements can typically be characterized as medium work: Lifting/moving items up to 50 pounds.
