Description AFSC/Magellan Federal is seeking an experienced Administrative Assistant who will provide
support to the CEO and other members of the leadership team.

Job Description:
The Administrative Assistant position provides a full range of administrative duties in support of and reporting directly to the CEO and other members of the leadership team. Duties may include, but not limited to the following:
• Coordinating activities between the AFSC and Magellan corporate senior leadership teams.
• Management of correspondence between the CEO and AFSC leaders, divisions and programs, clients and other administrative teams.
• Serve as an effective liaison between executives, internal management employees and visitors as required, using a collaborative and professional approach to positively represent the CEO’s office to others.
• Maintaining the CEO’s calendar to ensure efficient and optimal use of time as well as assisting with the prioritization of meetings based on program and business needs.
• Arranging meetings-amenities, equipment and logistics, other details, such as catering, as needed to include internal and external customers (to include government officials, flag officers, etc.).
• Coordinate travel arrangements for CEO and senior leaders and complete associated expense reports.
• Serves as the key point of contact for approvals, initiatives and documents needed from CEO’s office with efficient coordination, tracking, follow through and reporting.
• Ensures that CEO’s requests for action or information are relayed to the appropriate team members.
• Utilizing computer and standard desktop software to compose emails, correspondence, memos, reports, create documents, spreadsheets and presentation charts.

Requirements Minimum Qualifications:
• 5 to 10 years of experience working in an administrative capacity in a company headquarters or major division.
• Bachelor’s, GED, High School diploma.
• Strong verbal and written communication skills, in person and on phone or conference calls.
• Apply sound judgment and handle confidential and sensitive information with absolute discretion.
• Must have a positive attitude with excellent interpersonal skills and the ability to make sound decisions, solve problems and have good judgement.

• Demonstrated proficiency with MS Office Suite (Word, Excel PowerPoint).
• Ability to multi task, prioritize responsibilities and meet deadlines in an ever changing, fast paced environment.
• Self-starter who can independently accomplish tasks; proactive, flexible and takes initiative.
• Ability to quickly learn and use new software applications, as needed.
• Must have a positive attitude with excellent interpersonal skills and the ability to make sound decisions, solve problems and have good judgement.
• Ability to pass a drug test and background investigation.

Desired Skills:
• Working knowledge of Military and DoD industry.
• Internet research skills at an advanced level of administrative competency.
• Experience supporting C-Level Executives (3+ years)

General Office Demands:
- Must accurately record your daily timesheet per AFSC’s Timekeeping Policy

- Ability to work under time pressure
